Operations Assistant

 

POSITION

ICS is seeking a full-time employee to oversee the day-to-day operations of the school’s after school programs. The successful candidate is highly organized, detail oriented, energetic, and an effective communicator. The individual is responsible for

  • Ensuring families obtain timely information to sign up for programs.

  • Ensuring programed offerings are operating effectively

  • Advising on necessary changes to maintain an effective portfolio of programs that meet the community’s needs

The ASPA is willing to get his/her hands dirty and relishes the challenge of finding ways to work smarter and more cost-efficiently. He/she is able to work independently and anticipate requirements.. 

Major Responsibilities:

Program Information

  • Negotiate with vendors to offer after school programs both onsite and off site

  • Determine space needs for programs and allocate after school options accordingly

  • Maintain accurate information on the school website to enable families to sign up for programs

  • Monitor and analyze enrollment

  • Monitor financial aid applications and ensure timely decisions are taken and communicated

Program Operations

  • Observe programs operating in the school to check for safety, treatment of school materials and property, and program quality

  • Assist families with information about schedule changes and other issues

  • Assist program vendors with individual student needs

Program Evaluation 

  • Recommend changes to vendors to ensure a range of effective program offerings

  • Solicit feedback from families about their satisfaction with program offerings  

Other tasks

Assist the Operations teams with other tasks as needed during non-after school hours

  • Recess Duty

  • Answering phones

  • Clerical tasks

  • Specific projects

Qualifications

  • Two years of relevant operations experience (in school setting preferred);

  • Ability to set and manage priorities while working in a fast-paced environment;

  • Ability to communicate clearly and concisely in person, over the phone and in emails with parent and other stakeholders;

  • Proficiency with Google Sheets and/or Microsoft Excel; Squarespace is a bonus;

  • Experience with establishing and maintaining systems and procedures;

  • Proven ability working with others, including outside vendors, parents, community members and staff;

  • Willingness to do whatever it takes, with a sense of humor.
